
Overview
Louisville Thoroughbred Society, a prestigious members-only social club, is seeking an experienced and dynamic Event Manager to curate exceptional experiences and drive engagement through meticulously planned events. As the Event Manager, you will play a pivotal role in envisioning, executing, and promoting a diverse range of internally-produced events, ensuring they align with our brand identity and exceed member expectations.
Duties & Responsibilities
- Envisioning events, including ideation, purpose, and marketable components.
- Managing the complete internally-produced event calendar, staying ahead of holidays, local events, seasonality, and recurring events from the prior year as well as communicating that calendar to leadership and team members.
- Providing a leadership presence for all LTS internal events.
- Promoting events to members, both in-person within the club and proactively reaching out to strategically appropriate members.
- Creating complete BEOs for all events which should summarize logistics of event execution, including staffing, food and beverage, set up, equipment needs, and décor.
- Coordinating marketing efforts with the Marketing Manager to ensure a proactive presence across all appropriate channels.
- Collecting feedback from members on all events via PeopleVine, summarizing, reporting, and utilizing data.
- Working with LTS partners, members, and vendors to arrange sponsorships for internally generated events to minimize costs.
- Sourcing locally relevant and desired live music for Live-Music-Fridays, and other events as needed, and promoting accordingly.
- Maintaining a running spreadsheet to track quantifiable performance metrics of events, including gross sales, costs, profitability, and foot traffic.
- Ensuring internal event offerings are diverse in content, ticketing, targeted demographics, timing, platform, and style.
Qualifications
- A minimum of 2 years of management experience within the hospitality industry, encompassing restaurants, hotels, catering, or event planning.
- Proficiency in utilizing TripleSeat event planning software or a demonstrated eagerness to learn and adapt to new technology.
- Demonstrated organizational prowess and a methodical approach to managing workloads effectively.
- A proven ability to lead and mentor hourly staff, including servers and bartenders, fostering a collaborative and high-performance team environment.
- Comprehensive understanding of restaurant operations, event logistics, and food service, enabling seamless communication with chefs and clients.
- Mastery of Microsoft Suite, particularly Word and Excel, to streamline administrative tasks and enhance productivity.
- Proficiency in Canva graphic design and other visual suite tools to create captivating marketing materials and enhance brand aesthetics.
- A keen eye for decor and design, coupled with the ability to curate visually stunning buffet setups and event arrangements that align with our brand identity and captivate guests.
